1. Who is responsible for your data
MagicRiverbend operates the website at this address and the weekend walking service described on it. For the purposes of applicable data protection law, we are the controller of the personal information you share with us. Our registered address is 3-3-2 Kamezawa, Sumida-ku, Tokyo 130-0014, and you can reach our privacy team on 03-3625-3523 or at the postal address above. Whenever this policy refers to "we", "us" or "our", it means MagicRiverbend acting in that capacity.
2. Information we collect
We collect information you give us directly, such as your name, email address, telephone number and the walks you ask to join. When you take part in an outing we may record emergency contact details and any relevant health notes you choose to share, solely so that our guides can keep you safe on the trail. We also collect limited technical information automatically, including your device type, browser and the pages you view, through cookies and similar technologies described in our cookie policy.
3. How we use your information
We use your information to confirm bookings, to send practical details about your walk such as meeting points and weather advice, to answer your questions, and to improve the routes and times we offer. Where you have agreed to it, we may send occasional news about upcoming seasonal outings. We do not use your data to make automated decisions that produce legal or similarly significant effects on you.
4. Legal grounds for processing
We process your data to perform the service you have asked for, to comply with our legal obligations, to pursue our legitimate interest in running and improving a safe walking service, and, where required, on the basis of your consent. Where processing depends on consent you may withdraw it at any time without affecting the lawfulness of what came before.
5. Sharing with third parties
We do not sell your personal information. We share it only with service providers who help us operate, such as our booking platform, email delivery service and payment processor, and only to the extent they need it to perform their task. These providers are bound by contract to protect your data and to use it for no other purpose. We may also disclose information where the law requires it or to protect the safety of our walkers.
6. International transfers
Some of our providers operate outside Japan. Where your information is transferred to another country, we take steps to ensure it receives a level of protection consistent with this policy, including through appropriate contractual safeguards. We will provide details of these safeguards on request.
7. How long we keep it
We keep your personal information only for as long as we need it for the purposes set out here. Booking records are generally retained for the period required by tax and accounting rules. Health and emergency details shared for a specific walk are deleted once the outing has safely ended, unless you ask us to keep them for a future booking.
8. Keeping your data secure
We apply technical and organisational measures appropriate to the risk, including access controls, encryption in transit and regular review of who can see what. No system can be guaranteed perfectly secure, but we work to protect your information and to notify you and the relevant authorities if a breach is likely to affect your rights.
9. Your rights
Subject to applicable law, you have the right to access the personal information we hold about you, to ask us to correct or delete it, to object to or restrict certain processing, and to receive a copy in a portable format. To exercise any of these rights, contact us using the details below. We will respond within the time the law allows.
10. Children's privacy
Children are welcome on many of our walks, but bookings must be made by a parent or guardian. We do not knowingly collect information directly from children without that consent. If you believe a child has provided us data without it, please contact us and we will remove it.
11. Your rights under Japanese law
MagicRiverbend organises its walks from Tokyo, so your personal information is protected by Japan’s Act on the Protection of Personal Information (APPI). We collect only what we need to run a weekend outing — your name, how to reach you, and anything you tell us about pace or mobility — and use it for that purpose alone.
You may ask us to disclose the information we hold about you, correct it, stop using it, or delete it. Call 03-3625-3523 or write to 3-3-2 Kamezawa, Sumida-ku, Tokyo 130-0014 and tell us which outing you joined. After a quick identity check we will respond within two weeks, and we will never charge a fee for a simple request.
12. Changes to this policy
We may update this policy from time to time to reflect changes in our service or the law. When we make a significant change we will post the revised policy here and update the date shown above. We encourage you to review it periodically.
13. How to contact us
If you have questions about this policy or wish to exercise your rights, write to MagicRiverbend, 3-3-2 Kamezawa, Sumida-ku, Tokyo 130-0014, or call 03-3625-3523. We will be glad to help and to explain anything that is unclear.
